Privacy notice

This notice explains how Almanach handles personal information. Almanach is the trading name of a sole trader based in Edinburgh, UK (“we”, “us”), and we are the data controller for the information described below. Contact: [email protected].
What we collect
- When you contact us or request an audit (via our website form or by email): your name, email address, your restaurant's name and website, and anything you write in your message.
- When you become a client: the business and contact details needed to deliver and invoice the service.
- Technical data: our site is hosted on Cloudflare, which may process basic connection data (such as IP address) and set essential security cookies. We do not use advertising or analytics tracking cookies.
We do not buy or scrape contact lists, and we do not send unsolicited marketing.
Why we use it, and our lawful basis
- To respond to your enquiry and prepare your audit — our legitimate interests in answering a business enquiry you chose to send us.
- To deliver and invoice services you engage us for — performance of a contract.
- To keep financial records — legal obligation (HMRC record-keeping).
Who we share it with
We use a small number of trusted providers who process data on our behalf: Web3Forms (receives your form submission and emails it to us), Cloudflare (hosts our site and routes our email), and Google (Gmail) (our inbox). We do not sell your data or share it with anyone else, except where required by law.
International transfers
Some of these providers may process data outside the UK. Where they do, the transfer is covered by appropriate safeguards (such as UK adequacy regulations or the UK International Data Transfer Agreement).
How long we keep it
- Enquiries that don't become clients: kept while we're in contact and for up to 12 months afterwards, then deleted.
- Client records: kept for the engagement and for 6 years afterwards, to meet tax and legal record-keeping requirements.
Your rights
You can ask us to access, correct, delete, restrict or object to our use of your personal data, or to provide a portable copy. Email [email protected] and we'll respond within one month.
Complaints
If you're unhappy with how we've handled your data, you can complain to the UK Information Commissioner's Office (ICO) at ico.org.uk or 0303 123 1113.
Changes
We may update this notice from time to time; the current version always lives at almanach.scot/privacy, with the date shown at the top.
